Who we are
This website is operated by Lucy Jones, a Registered Nutritionist trading as Lutrition. In this policy, “we”, “us” and “our” refer to Lutrition and The Freelance Nutritionist Collective (TFNC), both operated by Lucy Jones.

What we do and what data we collect
This policy covers three ways you might interact with us:
1. Mailing list (Lutrition)
If you sign up to the Lutrition mailing list via our website, we collect your name and email address.
We use this to send you nutrition content, updates, and information about our services. Our lawful basis is consent — you can unsubscribe at any time using the link in any email, or by contacting us at lucy@lutrition.co.uk.
We use Mailchimp to manage our mailing list. Your data is stored on Mailchimp’s servers. For more information, see Mailchimp’s privacy policy.
2. Discovery call bookings (Lutrition)
If you book a complimentary discovery call, we collect your name, email address, phone number, and a brief reason for booking.
We use this to confirm and manage your appointment, and to follow up afterwards if relevant. Our lawful basis is legitimate interests. We retain this information for 12 months, after which it is securely deleted.
Discovery calls are booked via Calendly. Your booking data is stored on Calendly’s servers. For more information, see Calendly’s privacy policy.
Appointments are conducted via Zoom. We use Zoom’s AI note taker feature, which automatically transcribes and summarises the conversation. This means the content of your call — which may include personal and health-related information — is processed by Zoom’s AI. By attending a call with us, you acknowledge this processing. If you would prefer the AI note taker to be disabled for your call, please let us know in advance and we will accommodate this.
3. One-to-one nutrition clients (Lutrition)
If you become a client, the data we collect from you — including health information, food diaries, medical history, and consultation notes — is covered by the client agreement and terms and conditions you sign at the point of onboarding. That agreement sets out in detail how we collect, use, and store your data as a client.
Appointments are conducted via Zoom. We use Zoom’s AI note taker feature, which automatically transcribes and summarises the conversation. This means the content of your appointments — which will include personal and health-related information — is processed by Zoom’s AI. If you would prefer the AI note taker to be disabled for your appointments, please let us know and we will accommodate this.

4. The Freelance Nutritionist Collective (TFNC) membership
If you join TFNC (www.lutrition.co.uk/tfnc), we collect the following during sign-up and as part of your membership:

Name and email address — for your membership account and communications

Payment information — processed securely by our third-party payment provider; we do not store your card details

Phone number — collected optionally if you choose to join our members-only WhatsApp group; you are not required to join the group as part of your membership

Communications — messages sent via our members-only WhatsApp group or by email
We use this data to manage your membership, send you information about sessions and resources, and communicate with you as a member. Our lawful basis is contract performance (your membership agreement) and, for marketing communications, consent.
We use the following platforms to run TFNC: - Mailchimp — for member email communications - Zoom — for live sessions (sessions may be recorded; you will be notified in advance) - YouTube / Vimeo — for hosting recorded session content - WhatsApp — for the members-only community group
Please note that by joining the WhatsApp group, your name and phone number will be visible to other members. We ask all members to keep group content confidential, but we cannot control how third parties handle information shared in the group.
5. Website enquiries
If you contact us via a form on our website or by email, we collect whatever information you choose to share (typically your name, email address, and the content of your message). We use this to respond to your enquiry. Our lawful basis is legitimate interests.

Who else sees your data
We do not sell your personal data. We share it only with the third-party service providers listed above (Mailchimp, Zoom, YouTube/Vimeo, WhatsApp, and our payment processor), who are required to keep it secure and process it only for the purposes we specify.
We may also disclose your data if required to do so by law, or to protect the safety of any individual.
Transfers outside the UK
Some of our third-party providers (including Mailchimp and Zoom) operate in the US and other countries outside the UK. Where this is the case, we ensure appropriate safeguards are in place to protect your data in line with UK GDPR requirements.
Your rights
